Terms and Conditions
In these Terms & Conditions any references made to "Westfield Lodge Apartments", "Westfield Lodge" or "us" relates to, and is made on behalf of, Westfield Lodge (Bronteland) Limited. Nothing in these Terms and Conditions affects your statutory rights.
Online Live Bookings:
We offer an online booking facility whereby a booking can be secured by the immediate payment of a deposit or the full booking cost, depending on the time of the booking, via the secure payment systems of PayPal (Europe) Ltd.
For the purposes of Online Live Bookings the availability information shown on the website is deemed to be accurate but nevertheless is dynamic. On completion of the Booking Form and activation of the "Proceed to checkout" button the availability information is re-checked and the apartment and booking period is automatically placed "on hold" for ten minutes.
Activation of the "Proceed to checkout" button transfers control to the PayPal (Europe) Ltd. website. You should make the PayPal payment during this ten minute period and you should not use the refresh or back buttons on your web browser during this time. After you have made the payment you should return to the Westfield Lodge website using the appropriate link on the PayPal website. Failure to do this will not secure the booking.
If you cancel the PayPal payment process by using the appropriate "Cancel and Return to Merchant" or "Return to Westfield Lodge (Bronteland) Limited" link, the "on hold" will be cancelled, the period will become available and you will be returned to our Bookings page with your booking form data intact. If you close your browser or use your browser's "back" or "refresh" buttons, or otherwise cause the session to loose track during this period, then you risk loosing your booking session in which case you will not be able to reattempt the booking until the "on hold" has timed out after ten minutes.
PLEASE NOTE: If, after making your PayPal payment, natural control is not returned to the confirmation page on our website (for example, if you close your browser or visit another website), your chosen apartment and booking period will not be automatically recorded as "Booked" on our system. Similarly, if there is a system failure during this period your booking might not have been recorded even if you have paid. In all probability such an issue will be rectified manually by us but if this situation should occur and you find that you have paid but on a subsequent return to this website your chosen date does not show up as "Booked", or you do not receive an automated confirmation email from Westfield Lodge Apartments, then you should contact us.
If your PayPal payment is by eCheque then you should not consider the booking to be firm until we have informed you that the eCheque has cleared. If the eCheque does not clear in a reasonable time then we will remove the booking and reinstate the period as being Available. If this should clear at a later date we will refund the payment in full.
Booking Requests can be made via the Booking Form on this website, by email, by telephone or by post.
Occupancy is from 15:00 hours on the day of arrival until 10:30 hours on the day of departure. Alternative arrangements may be made on request to Westfield Lodge Apartments at time of booking.
Accounts to be paid in full one month in advance of taking up occupancy of the accommodation booked. In the case of late or "last-minute" bookings, i.e those made within 8 (eight) weeks of occupancy, full payment is required at time of booking.
Deposit: A deposit of 25% of the full booking price is required where the booking is made 8 weeks or more before the occupancy. Deposit only secures booked accommodation until payment of the balance due. Failure to pay the full amount by the date prescribed entitles Westfield Lodge Apartments to re-let the booking. Subject to the Cancellations Condition below, any deposit paid is deemed as a definite booking and no refund will be made.
Cancellations:
If you decide to cancel an Online Live Booking that includes an immediate payment by PayPal then you can do so within seven days of the time of making the booking. For the purposes of this Condition, "time of making the booking" means the time that the PayPal payment is instigated as part of the online booking process. Under such circumstances we will refund the full amount of any payment you have made as soon as we receive a request from you asking for the cancellation. For the avoidance of doubt there is no direct equivalent right to cancel bookings made using the online Booking Request or other methods where payment is made at a later time.
In other cases, if you want to cancel your booking then we reserve the right to make a cancellation charge as shown below. This relates to the relative timing of your cancellation and your scheduled Arrival date. The time we receive your cancellation instruction is deemed to be the time of cancellation.
- 61 days or more prior to scheduled Arrival date: loss of deposit.
- 40 - 60 days or more prior to scheduled Arrival date: 50% of total cost.
- less than 40 days prior to scheduled Arrival date: 50% of total cost.
Confirmation of booking will be sent to you by Westfield Lodge Apartments. In the case of an Online Live Booking you should receive an automated confirmation email within a short time of making the payment. Subject to the Condition, above, about the clearing of eCheques, this automated email will be the formal confirmation although we will normally follow this up with a more personal response. (If you do not get an automated email after an Online Live Booking payment then please contact us.) In the case of online Booking Requests or other email requests we will confirm your request by email or telephone within 24 hours and make arrangements for the payment of deposit or full payment. After payment we will confirm your booking by email or return post. When payment is made by cheque, confirmation will be sent following clearance through the UK banking process.
Errors and omissions can sometimes occur and it is the responsibility of the person making the booking to ensure that on receipt of the Booking Confirmation the details contained therein are true and accurate. In the event of an error or omission contact must be made with Westfield Lodge Apartments immediately or no later than 48 hours after Booking Confirmation has been sent to you as we take no responsibility for errors arising after this time.
System Failures: We are not liable for equipment or system failures during the booking process, whether we own the system or not, but will use all reasonable endeavours to deal with such failures in an efficient manner and expect our guests or potential guests to do the same in order to maximise the possibility of rectifying any resultant issues or problems.
Damage and breakages to equipment, furnishings or fittings within apartments must be reported immediately to Site Reception. Damages and breakages deemed the result of undue/unnecessary treatment/actions will be subject to a charge being made for repair/replacement/cleaning as considered appropriate.
Your consideration for other guests and pets at Westfield Lodge Apartments is respectfully requested. Any complaints during your stay should be addressed to Site Reception.
